  • Build and maintain client relationships through project delivery
  • Working with a project team, ensure that key deadlines and deliverables are met throughout a project’s life cycle

  • Experience in managing a project through typical cycle phases: requirements gathering, design, build, UAT and deficiency management

Grantbook has a transparent salary structure with 6 levels, from A through F. We are looking for skilled and experienced candidates at the levels B and C, in the salary range of $62,400 - $83,200. You might be great at system administration, cloud software configuration, integration, or data management, but your hidden talent is championing the user’s voice and explaining technology in simple terms.

What You'll Do

At Grantbook, you’ll research, recommend, implement, and help integrate different cloud solutions for grants management, customer relationship management, and related functional areas that meet our foundation clients’ needs. In this full time role, you’ll work closely in cross-functional teams of two to four, taking ownership over the technical details and the implementation and/or integration pieces on multiple projects.

YOUR PRIMARY RESPONSIBILITIES:

  • Work closely with project managers to serve as the technical resource on the implementation, setup, deployment and ongoing support of cloud solutions for clients. This includes:
  • Leading or supporting discovery meetings to map out business processes with clients, and translating them into requirements for systems that evaluate and rank applications.
  • Working with various form builders to create applicant-friendly application forms that balance user experience and data collection.
  • Setting up online portals for users to review and submit applications, reports and payments.
  • Automating emails and communications between the foundation and their applicants to streamline the grant approval process.
  • Building reports for foundation boards and directors to see where their funds are going, and where their impact is measuring against benchmarks.
  • Continuous testing, deployment and support of new features and changes to ensure systems are available and functioning for staff as intended.
  • Using middleware tools like Zapier and Power Automate, build out API integrations between systems so that information flows across platforms and workflows seamlessly (if you’d like to learn or apply programming skills, you are welcome to do this with code as well!)
  • Support current-state audits and solution evaluations by gathering and documenting the functional requirements for new grantmaking systems and processes.
  • Complete data migrations and other data-related tasks as needed, including data audits, visualizations, transformations, cleansing, deduplication, and field mapping.
  • Produce and share client-specific training and documentation, including on-site training, video tutorials, and blog posts around technology best practices and processes.
  • Monitor technology adoption and provide enhancements as needed.

  • Working with a project team, ensure that key deadlines and deliverables are met throughout a project’s life cycle
  • Prepare and share weekly project updates, including summaries of milestones completed and upcoming, observed risks, current issues, and budget alignment
  • Draft, submit, and present recommendations for proposed technology, process, strategic or other solutions and related materials, including kick-off decks, assessment & recommendation decks, RFP drafts, and project reports
  • Facilitate client meetings and workshops around technology use, processes, data and digital strategy
  • Support and coordinate with other Grantbook team members and partners in setting up and deploying approved cloud solutions. This responsibility may involve hands-on software configuration and functional testing, in which cases internal training will be provided
  • Help train and support client/users on the implemented technology solutions
  • Track and evaluate technology adoption of implemented cloud solutions
  • Capture and share lessons learned from projects
  • Identify additional opportunities for Grantbook to add value
  • Occasional travel to client sites across North America as required

ADDITIONAL RESPONSIBILITIES:

  • Provide feedback and help enhance Grantbook’s overall operations
  • Contribute to building Grantbook’s institutional knowledge through delivering informal team training, contributing to an internal wiki, and other methods of information sharing
  • Support Grantbook’s marketing & sales efforts
  • Have fun, work as a team, and "get it done"
  • Other duties as reasonably assigned

WHAT YOU CAN OFFER

  • 3-5 years of process design or change management experience
  • Affinity towards or general undersatnding of non-profit sectors or philnathropy
  • Strong problem identification and solutions design skills
  • Possesses a robust design workshop toolkit: ie Appreciative Inquiry, affinity mapping, retrospectives (learn, long, love), etc.
  • Comfort whiteboarding on-the-fly to to gather data quickly, synthesize, communicate and visualize big concepts
  • Affinity for wrangling amorphous, ambiguous, complex client scenarios into a clear path forward
  • Ability to communicate complex ideas to a non-experts both verbally and in writing
  • Self-organizer and problem-solver who thinks creatively, and can meet tight deadlines across multiple projects
  • Proven interpersonal skills and a client-focused approach

SALARY & BENEFITS

Grantbook has a transparent salary structure with 6 levels, from A through F. We are looking for experienced candidates at the levels C and D, in the salary range of $78,000 - $103,650. Throughout your interview process, we’ll learn more about your skills and experience and determine your starting salary based on what you bring to the team. In addition, all Grantbook team members will enjoy a bonus—an equal share of a dedicated portion of profits set aside to reward the whole team for exceptional performance on our impact goals.

Our physical offices are based in Toronto, where the majority of our staff are located. To our staff based in the Greater Toronto area, we offer a flexible hybrid work environment. We also have several team members in Vancouver and are exploring office space to enable occasional in-person work.
